Ryder System Administrative Assistant II Legal in MIAMI, Florida

Position Description

As part of the Ryder team, the Administrative Assistant II - (Legal) position provides confidential administrative support to legal staff; may provide specific secretarial support to a particular legal specialty, such as operations, human resources, litigation, corporate affairs, finance, asset management, intellectual property, etc.


  • High School diploma or GED equivalent is required

  • Minimum of 3 (three) years of prior advanced administrative experience

  • Intermediate level skills with MS Word such as including styles, mail merge, tabs, tables, columns and breaks, graphics, fields, headers and footers, working with margins, page orientation, and spelling/grammar

  • Intermediate level skills with MS Excel such as freezing/unfreezing panes, hiding/un-hiding data, setting print titles & page breaks, linking workbooks, creating external links, re-directing links, customizing toolbars & menus, protecting a worksheet, filtering options, and chart formatting options

  • Progressively responsible secretarial and/or legal office experience required

  • Position requires good command of the English language


  • Utilization of knowledge of legal procedures and handling of confidential information in the provision of specialized administrative support to professional and/or paraprofessional legal staff

  • Proficient customer service and phone etiquette skill

  • Candidate must have the ability to be detailed, proactive, and able to handle multiple tasks in a timely manner

  • Must have the ability to be a team player in assisting others

  • Successful candidate must be able to work with all levels in the organization and have an ability to work independently with little supervision

  • Candidate must also have demonstrated an ability to perform assigned tasks under own initiative and an ability to prioritize and organize

  • Prior knowledge of company procedures and policies is preferred

  • Ability to communicate clearly and accurately

  • Ability to show patience and courtesy when dealing with people

  • Ability to communicate effectively both orally and in writing

  • The use of transcribing equipment and notary public licensure are desired


  • The responsibilities of the Administrative Assistant - II (Legal) include but are not limited to the following: Prepares documents and correspondence requiring knowledge of legal terminology and formats such as letters, contracts, briefs, policies, and pleadings

  • Performs a wide variety of other routine secretarial and administrative tasks, including gathering relevant information and documents, under direction, or compiling legal data from sources such as computer databases, digests, or practice manuals for litigation and claims; performing typing assignments, which may be confidential in nature and require research to complete; and using word processing and spreadsheet programs to compose, edit, revise, tabulate, and print letters, tables, reports, and other materials

  • Assistant will be responsible to establish, maintain, process, and oversee files, correspondence, databases, records, certificates, and/or other documents

  • Schedules appointments and performs other duties related to maintaining supervisor's schedule; may schedule and coordinate meetings and conferences, including travel and lodging arrangements, facilities, and vendor and conference participant payments

  • Will arrange teleconferences with local, regional, and national law firms, as well as internal clients and consultants, as required

  • Opens and routes office mail as appropriate; may serve as receptionist for the office, providing information to callers and visitors, and directing them as appropriate

  • Performs miscellaneous job-related duties as assigned

  • Preparation of legal documents and various other correspondence requiring knowledge of legal terminology

  • Maintenance and oversight of computer databases and management of confidential records

  • Gathering of data as requested
