Position Description:

The Executive Admin Assistant will perform administrative and secretarial duties for the Presidents, Executive Vice Presidents, Senior Vice Presidents, and/or Vice Presidents. This position will represent the highest levels of management.

Requirements:

  • High school diploma or equivalent

  • Associate's degree in business administration, communications, or related field preferred

  • Five (5) years or more experience as an administrative assistant including executive level support

  • Ability to:

  • Read and/or listen and understand information and ideas communicated

  • Manage multiple assignments and tasks, set priorities, and adapt to changing conditions and work assignments

  • Maintain confidential information

  • Work independently and as a member of a team

  • Keep accurate and up-to-date records and logs. Record, itemize, collate, and tabulate data

  • Group, categorize, and systematize data, people, or things

  • Work within tight timeframes and meet strict deadlines

Responsibilities:

  • Communicates in person and through correspondence with different contacts inside and outside of Ryder System Inc. such as Board of Directors, shareholders, consultants, employees, officers, vendors, and customers

  • Composes, prepares, edits, and types a wide variety of documents such as manuals, brochures, proposals, reports, letters, memos, presentations, organizational charts, confidential material, and other on behalf of the officer. Documents may include extensive charts, spreadsheets, tables, and figures. Ensures correct format, accuracy, and proper grammar, punctuation and spelling are maintained

  • Screens and directs incoming telephone calls, emails, and visitors. Refers to appropriate personnel or attends to inquiries and actions that do not require officer’s attention

  • Maintains appointment calendars. Serves as the focal point in coordinating and scheduling activities, meetings, and conference calls. Provides audiovisual and/or other ancillary equipment and materials as needed

  • Coordinates all air travel, ground transportation, and hotel accommodations arrangements

  • Performs certain administrative business related duties including budgeting, ordering supplies, maintaining files, receiving and distributing mail, maintaining confidential information, and accounts payable/receivable tasks

  • Enters data into the different systems and databases. Creates, runs, and/or develops several listings and reports from the different systems, software, and/or applications

  • Works on special projects as assigned

  • Performs other duties as assigned
